Workplace handoff path from meeting decision to reusable reply

A handoff table works better when status, source, owner, and next check date are separate fields instead of one overloaded notes column.

The overloaded notes column looks convenient at first. People paste “waiting on finance, see thread, maybe update next week” into one cell and move on. Later, nobody can filter by blocked items, stale sources, owner, or review date. The table becomes a memory dump rather than an operating surface. A small schema prevents that drift.

Use at least six columns: item, current status, source link, owner, blocker, next check date. Add risk and customer impact only when the table supports project or support decisions. The current status should be a controlled phrase such as open, blocked, waiting, done, or archived. The source link should point to the document, ticket, decision note, or message that explains the state. The owner is the person expected to change the row, not everyone who cares about it.

The next check date is the field that keeps a handoff alive. Without it, old rows stay visible but no longer trusted. If a row has no source and no owner, it should be rewritten or archived. If a row has a source but no next check date, it may be true but operationally inactive.

The goal is not a complex database. It is a table that can answer simple handoff questions quickly: what is blocked, who owns it, where did this status come from, and when should we look again?
