Start with the customer stage. New customers often hesitate when a business asks for payment before trust is established. If the service is a first consultation, simple inquiry, short visit, or low-prep appointment, a free reservation may increase conversion. The business can still protect itself with confirmations and cancellation windows.

Measure no-show cost honestly. If a missed booking does not waste materials, does not require custom preparation, and can be replaced by walk-ins or waitlist customers, a deposit may add more friction than value. Operators should not copy deposit policies from high-prep services if their own risk is low.

Use lightweight commitment signals. Email confirmation, SMS reminders, calendar links, small waitlist deposits only for peak times, or requiring cancellation by a deadline can reduce no-shows without charging everyone. Some businesses can require deposits only for large groups, long appointments, repeat no-show customers, or peak-hour slots.

Keep the policy easy to understand. Customers should know whether booking is free, when cancellation is expected, and how to update the appointment. A confusing free policy can still create missed slots if customers do not know how to cancel.

Use free reservations when conversion, accessibility, and trust are the priority. Add deposits only where operational risk is clear enough that the extra friction is worth it.
