Review Reply Classification to Response Flow

A local store review reply checklist helps staff respond to public reviews without turning every reply into either a copied template or a risky improvisation. The goal is to protect tone, accuracy, and customer context at the same time.

Start by classifying the review. Is it praise, a logistics question, a product fit issue, a complaint, a delivery or pickup problem, a staff-experience concern, or a policy misunderstanding? The class decides how much customization is needed. A simple praise review may only need a warm specific thank-you. A complaint needs acknowledgment, care, and a next step that does not expose private details.

Next, extract one concrete detail. Mentioning the product category, visit timing, pickup experience, packaging note, or specific concern shows that the reply was read. The detail should be safe and public. Do not repeat private order numbers, phone numbers, medical details, addresses, or anything that makes the customer more exposed.

Then attach the relevant stable block. Stores can keep approved wording for exchange windows, care instructions, reservation rules, pickup hours, delivery boundaries, parking, sizing, and contact channels. This prevents staff from rewriting policy details incorrectly. The block should be short enough to fit naturally inside the reply.

Finally, decide the action. Some reviews need no action. Some need a clear contact route. Some need a correction or apology. Some should be moved to private support after a public acknowledgment. The reply should not promise what the store cannot do, and it should not argue with the customer.

The checklist ends with a tone check: specific, brief, accurate, privacy-safe, and not visibly copied.
