A bad review reply often tries to win the whole story. That is where it starts sounding defensive. For a local shop, marketplace seller, repair desk, or pickup counter, the better boundary is narrower: answer only the proof that both sides can see. If the customer says the item arrived late, the reply should not guess why the customer was upset. It can say when the order was accepted, when pickup or delivery was marked, and what channel is open if the timestamp is wrong. If the customer says the package was left at the wrong door, the reply should point to the photo, address crop, or carrier handoff step without publishing private details. The practical test is simple. Would a third person reading the reply know what record to check next? If yes, the reply is probably useful. If the reply only says "we are sorry for your experience" or "that is not what happened", it may be polite, but it does not move the record forward. A reusable local-commerce note should keep the claim small: what was visible, what was checked, what remains unresolved, and where the next private conversation should happen.
