Review residue is the leftover markup, unresolved comments, stale suggestions, and unclear edits that remain in a shared document after the real decision has already moved on. Microsoft Support explains that tracked changes become permanent only when accepted, and rejected changes are removed. That technical detail matters for team operations because a document can look final to one reader while another reader still sees markup, comments, or suggested edits. The problem is not only visual clutter. It creates uncertainty about whether the text is approved. A review residue cleanup should check open comments, unresolved suggestions, accepted or rejected changes, named version or final copy, document owner, and the next place where the approved text will be used. If the document is a policy, proposal, customer reply, or onboarding guide, leaving residue can create conflicting instructions. A new teammate may follow an old comment instead of the final sentence. The practical boundary is that not every comment should be deleted immediately. Some comments are evidence, open questions, or source trails. The cleanup should decide which comments are part of the record and which are only temporary review marks. The final document should say where the decision lives if the comment thread is removed. A good review residue note prevents a common failure: the team thinks review is done, but the next person cannot tell which version is safe to use.
