An incident note is a public or customer-facing summary of what happened, who was affected, and what the team changed after a service problem. A good incident note is not a blame document. It gives enough detail for customers to understand whether their work was affected and whether they need to take action. For a small SaaS, the note may be shorter than an enterprise postmortem, but it still needs timeline, impact, current status, and follow-up. The most useful notes answer four questions: when did the problem start, what could users not do, how was it resolved, and what will change to reduce recurrence. If data integrity, billing, email delivery, or API writes were affected, the note should say that directly. If they were not affected, saying so reduces support tickets. The boundary is certainty. Do not overstate the root cause before investigation is complete. It is acceptable to say what is known now and what is still being checked. Practical interpretation: write the incident note for the customer deciding whether to retry, wait, check their records, or contact support.
