A handoff window is the time range in which another person must be able to continue work without asking the absent person for context. Not every handoff needs the same detail. A two-hour lunch handoff, a weekend support rotation, a sick day, and a two-week vacation have different risk. The handoff window defines how much uncertainty the note must absorb. If the window is short, the note can focus on the next reply or open task. If the window is long, it needs current status, blockers, contacts, deadlines, and where to find source material. A practical handoff window note answers five questions: what is active, what is waiting, what can be ignored, what must not be missed, and where the source of truth lives. The phrase “source of truth” should point to a concrete place such as a ticket, customer thread, shared document, calendar event, or folder. If the note only says “see chat,” the next person still has to reconstruct the work. The window also controls tone. For a short window, a concise checklist may be enough. For a longer absence, the note should include decision history and escalation rules. The next person should know whether they are expected to maintain, decide, pause, or only monitor. The boundary is over-documentation. A handoff note is not a full project history. It should contain enough context for the window it covers and point to deeper material only when needed.
