A cross-device sync boundary is the line that decides which notes and files must appear on every device, and which items should stay local, archived, or manual. Without this boundary, every app becomes responsible for everything. Phone screenshots, WeChat files, desktop PDFs, family photos, school forms, exported chat records, and work drafts all compete for the same sync space. The result is slow search, duplicate folders, storage warnings, and anxiety about whether the newest copy is on the phone or the laptop. A good boundary names categories. Daily capture should sync quickly. Important forms should sync plus receive a backup. Large videos may stay in one cloud drive. Private finance or identity documents may need stricter storage and fewer devices. Shared family files may need a separate folder where non-technical relatives can find the latest version without learning the whole folder structure. The boundary is not about using fewer apps at all costs. Practical interpretation: decide what must be searchable on the phone, what must be restorable, and what can simply be stored.
