A departing teammate handoff should move ownership before archiving the farewell thread. Teams often remember to write a goodbye message and collect open tasks, but forget that files, pages, report views, lists, and recurring decisions may still point to the person who is leaving. Google shared drive guidance emphasizes membership and role access for people or groups who need broad shared-drive work access. Atlassian Confluence supports transferring ownership of content items. Together, these patterns show the same rule: handoff is not only a written summary. It is a change in accountable ownership for work artifacts. A useful offboarding handoff should include owned documents, shared drive folders, Confluence pages, Slack lists or canvases, recurring meetings, vendor relationships, customer commitments, open decisions, report views, and access exceptions. Each item should name the new owner, current state, next checkpoint, and whether the artifact should be retained, merged, or retired. The key is timing. Ownership should move before the person loses access, not after teammates discover broken links or unanswered questions. The farewell thread can preserve context, but the work system should already know who owns the next action.
