Meeting notes should separate decisions, action items, and open questions before a recap link is treated as enough. A recording, transcript, or recap can preserve what happened, but the team still needs a short operational layer that says what was decided, who is doing what, and what remains unresolved. Google Docs meeting notes are designed to connect a document with Calendar context and make it easier for people to contribute during or after a meeting. Microsoft Teams recap can collect recordings, transcript, shared files, notes, agenda, and follow-up tasks. Both patterns are useful, but neither removes the need to label the output of the meeting. A practical meeting note can use four sections: decision, action item, open question, and reference. The decision section should say the current choice and owner. The action item section should name task, assignee, deadline, and done condition. The open question section should name the missing input and who will resolve it. The reference section can hold the recap link, document link, slide link, or transcript. This structure prevents a common failure: a team shares a rich recap, everyone assumes the next step is obvious, and a week later nobody knows whether the issue was decided or only discussed. The value of the note is not length. The value is the separation between agreement, assignment, uncertainty, and source material.
