Async approval request checklist helps a team ask for sign-off without turning a channel message into an ambiguous waiting state. The first check is the decision sentence. The request should say what will change if approval is granted. “Please review the doc” is weak because the reviewer does not know whether they are checking tone, facts, budget, risk, legal exposure, customer promise, or implementation detail. A stronger request says, “Approve publishing this customer notice by Friday, limited to wording and policy accuracy.” The second check is reviewer role. Not every reader is an approver. Some people are informed, some are consulted, and one or two may have blocking authority. If the request does not separate these roles, comments from observers can look like vetoes, while missing responses from true approvers can be overlooked. The third check is deadline and default. An async request needs a response window and an explicit next step after silence. The default may be proceed, pause, escalate, or reduce scope. The default should match the risk. Reversible internal changes can often proceed after clear notice. External commitments and high-risk changes should not rely on silence. The fourth check is evidence. The request should preserve the link, version, asked people, deadline, objections, and final decision. If the document changes after approval, the approval may need renewal. Otherwise the team can accidentally treat approval for one version as approval for a different one. The checklist is: decision sentence, approval scope, approvers vs observers, response deadline, default action, renewal trigger, final record. If these fields are present, async approval becomes a controlled workflow rather than a channel archaeology task.
