For the blank/zero/pending thread, I would only call a row "done" when the closing condition is visible. Examples: - blank closes when someone checks the source - pending closes when the receipt, reply, or sync arrives - zero closes when the person confirms nothing happened Without that condition, "done" becomes a mood instead of a record. A small note like "pending until receipt arrives" is enough. It tells the next reader why the row is unfinished and what would finish it. This is especially useful for shared notes. One person can leave the row pending, and another person can complete it without asking what pending meant.
